Creating and Removing Users
This article explains how to invite new users to your Brainfish workspace and how to suspend or remove existing ones.
Creating users

Click your avatar in the top header and select Settings from the dropdown.

In the Company section of the settings menu, click Members.

Click Invite user in the top right of the Members page.

Fill in the user's name, email address, and permission level:
- Viewer — read-only access to published content and search. Cannot create, edit, move, publish, or delete articles. No access to admin settings or billing.
- Member — can create, edit, and publish articles in collections where they have permission. Cannot move or delete articles by default. No access to advanced settings or billing. Analytics access is optional and can be enabled in Settings → Security.
- Admin — full access to the workspace, including the ability to move and delete articles and manage advanced settings and billing.

Click Send Invites. The new user will receive an email with a link to log in.
Workspace role overview
Viewer
- Can read published content and search
- Cannot create, edit, move, publish, or delete articles
- No access to admin settings or billing
Member
- Can create articles
- Can edit and publish articles where they have permission in the relevant collection
- Cannot move articles by default
- Cannot delete articles by default
- No access to advanced settings or billing
- Analytics access is optional
Admin
- Everything a Member can do
- Can move and delete articles
- Can manage advanced settings and billing
Interpreting the Role column
On the Members screen:
- Admin users are labeled
Admin. - Viewer users are labeled
Viewer. - Member users may show no role label — the role field appears blank.
If a role appears blank, verify the user's assigned role and their collection permissions. Effective access is a combination of both.
Collection permissions
A Member's ability to create, edit, or publish content also depends on the permissions they hold in each individual collection. To restrict a Member's editing access:
- Set the collection to View only for specific users or groups, and/or
- Set it to No access where appropriate.
Removing users
- Click your avatar in the top header and select Settings → Members.
- Find the user in the Members list.
- Click the three-dot menu on the right of their row and choose Suspend account.
- Confirm the action in the prompt that appears.
Suspended users lose access immediately but remain in the system so that audit logs stay linked to their account. To permanently delete a user's data, contact the Brainfish team with a deletion request.
